The Registrar develops and maintains records of all groups in Area 78, including:

bullet group name
bullet district number
bullet group identification number
bullet meeting location
bullet meeting times
bullet telephone contacts, and service positions, such as
bullet General Service Representatives,
bullet Alternate GSRs,
bullet District Committee Members and Alternate DCMs,
bullet Local Committee Members and Alternate LCMs,
bullet Table Officers,
bullet Past Delegates and
bullet Trustees.

 For each of these people, records must be kept of their

postal code

bullet

contact numbers

bullet

email address

The Registrar’s job is very time-consuming and needs to be carried out on schedule. Make sure you have ample time if you are thinking of doing this job!

 The Registrar must be computer literate, an email pro and needs to become familiar with the new Area Download database. This program is intended to improve communication with GSO, Districts and Groups. This program contains MS Access “run time” programs which do not conflict with other programs or other versions of Access.

The Registrar’s job comes with a computer (which currently is using MS Works for the mail outs), a desk and a printer. Access to a fax machine and photocopier is helpful but not essential. Keeping a good file system for backup copies of changes is required.  Organizational and office skills are helpful, with an eye for detail.  At times, you will need to be a detective and a handwriting expert – and you ought to be able take criticism.

The Registrar shall keep the General Service Office (New York) updated of any and all Group changes, District changes or Committee changes.  The Registrar shall generate packages for each District Committee Member, to be distributed at every committee/assembly meeting. This package should include:

  1. Registered Group Information Sheets

  2. Lists of DCMs and Alternate DCMs

  3. Area General Service Committee listing

  4. List of District numbers/names

  5. A small supply of forms

  6. Other information as appropriate

 At District Committee Meetings and Assemblies, the Registrar has additional responsibilities.

 The Registrar will attend each of the four Committee and Assembly meetings per year and set up the Registration Desk. The Registrar is responsible for

bullet maintaining, counting and cleaning name tags
bullet assigning room numbers for Committee Workshop and Sharing Questions
bullet getting and organizing helpers
bullet collecting and accounting for the registration fees
bullet turning the money over to the Area Treasurer
bullet picking up and disposing of all AA related written material and flyers left at Area Assembles and Committee Meetings
bullet printing up and forwarding the mailing labels to the Area 78 Secretary for use in mailing the Assembly Minutes and Committee Meeting Minutes
bullet providing Voting Ballets for the area elections at the appropriate Area Assemblies.
bullet storing and maintaining all hang –ups. These include the following

bulletAssembly schedule (dates and locations)

The Registrar is responsible for distributing Committee and Assembly Agendas to Area, District and Group Representatives. The Registrar keeps a listing of District Numbers and maintains the Area Maps. The Registrar shall have a supply of forms available at each of the Committee and Assembly Meetings:

  1. Group Information Change Form

  2. New Group Forms

  3. District Committee Member Information Change Form

 The Registrar should be available to do workshops and should familiarize themselves with the A.A. Service Manual, The 12 Traditions and 12 Concepts for World Service.
