EXPLANATION AND PROCEDURES FOR
“GROUP INFORMATION SHEET”

WINTER 2002

These instructions accompany the Group Information Sheets which are given to DCMs for review and revision.

Here is a description of the significant fields on the form:

DELEGATE AREA

Area Number and Geographical location.

DISTRICT:

District number.

GROUP SERVICE #:

The Group’s unique ID#. Please use this number when corresponding with GSO.

RUN DATE:

The date the “GROUP INFORMATION SHEET” was printed

LAST REVISED:

This date indicates the last time a change was made to the Group Data.

HISTORY DATE:

The date the Group started.

MEMBERS:

The number of members in the Group. (GSO uses this information in reporting the fellowship statistics worldwide.)

CONTRIBUTIONS:

The contribution amount shown (if any) indicates total monies received from the Group for the current year beginning January 1 of the current year indicated

GENERAL SERVICE REP:

The name, address and telephone number, which appears here, is that of the current GSR. If there is no GSR listed, the heading will read as follows: MAILING ADDRESS (*NO GSR LISTED*); the person listed receives the mail for the Group.

If Name = Unknown then the Group is active, but without a valid mail contact.

NOTE: Should we receive return mail, or be notified that the GSR is no longer associated with the Group, we will then correspond with the Alternate GSR/Additional contact.

ADDITIONAL CONTACT:

The name, address and telephone number which appears here could be the Alternate GSR or an additional contact. Please indicate on printout if this person is the ALT GSR or a mail contact.

NOTE: Invalid addresses are indicated by the message, “The Post Office is Returning Mail from this Address”.

LIST?

LIST? Is equivalent to “Do you want to be listed in the directory?” If the answer to the question is “Y” (Yes), this Name and Telephone number will appear in the directory.

NOTE: Groups without a telephone number will not appear in the directory since the purpose of the directories is to help traveling A.A. members find meetings and for Twelfth step work. Groups without phone contact still continue to be listed in our data base and served by G.S.O.

LIST? .

Same as above as relates to the Additional contact

PHONE CONTACT:

The name and telephone number of the person who may be contacted regarding the Group. Also, this telephone number will appear in the directory if:

There is no other person listed.

There is only one other telephone number listed for this Group.

COMMENTS:

Synopsis of changes made to the Group record.

Please review each of the printouts keeping the following points in mind:

Please cross out incorrect information. (But not so dark as to be undecipherable)

PRINT all changes next to or below the crossed out information

Return only those printouts with CHANGES

NOTE 1

If a Group is no longer active, please write a note on the printout giving us a little background with regard to why the group is inactive. This information will become a part of the Group file.

NOTE 2

If two Groups have merged into one, staple both printouts together and advise us of all pertinent information regarding the merged Groups. i.e., Group name, address, GSR, etc

NOTE 3

If you have a Group that does not have a printout, it usually means that we do not have the Group listed on our database. Please use the “NEW GROUP INFORMATION FORM” supplied to register this group with the GSO.

Keeping group information accurate is a year-round endeavour for all of us - at GSO, in the areas and the districts. We are grateful for the help you provide in keeping us informed whenever changes are made in your district.
